Clinic Manager

We are currently looking for a Clinic Manager.

Under the general supervision of the Executive Director, the Clinic Manager is responsible for the supervision, direction and coordination of the day-to-day operations of the clinic.

Performance Requirements:

  • Fluently Bilingual
  • Flexibility in schedule and task
  • Experience running a medical center
  • Knowledge of organization policies, procedures and systems
  • Knowledge of health administrative practices (an asset)
  • Knowledge of computer systems and applications
  • Skill in planning, organizing, delegating and supervising
  • Skill in gathering and interpreting data
  • Skill in verbal and written communication (bilingual)
  • Skill in developing and maintaining effective working relationships with staff, patients, doctors, public and external agencies
  • Ability to take initiative and to exercise independent judgment, decision-making and problem-solving expertise
  • Ability to research and prepare reports or other correspondence as required


Position Tasks

  • Assisting in the establishment/ implementation of goals, objectives, policies, procedures and systems for all operational areas of the clinic
  • Assisting in the development and implementation of long-range plans
  • Participating in the selection, training and supervision of all clinic staff
  • Planning and coordinating daily work assignments and operations
  • Evaluating performance, recommending merit increases and disciplinary actions
  • Resolving problems, both administrative and operational (including the maintenance of clinic property, computer systems and installed software applications) and ensuring compliance with regulations and standards
  • Assisting in the development/ implementation of cost effective policies and procedures for all administrative and operational areas
  • Ensuring the effective implementation and administration of personnel policies and payroll practices
  • Creating, documenting, and maintaining all schedules according to the scheduling software and policies
  • Writing all internal communications
  • Serving as a liaison between clinic and external agencies
  • Maintaining the strictest confidentiality
  • Performing other duties as assigned

Medical Secretary

Under general supervision performs a variety of secretarial duties to physicians and other members of the clinic as assigned.

Duties include, but are not limited to :

  • Responding to incoming telephone calls, screening calls, taking and relaying messages and providing information;
  • Manage doctors’ schedules.
  • Providing support services to patients and medical staff;
  • Scheduling appointments and admissions as requested;
  • Maintaining appointment logs for patients and updating physician schedules;
  • Creating and maintaining patient records as requested;
  • Ordering and restocking office and clinical supplies;
  • Maintaining patient confidentiality

Performance requirements:

  • Knowledge of medical office procedures.
  • Knowledge of medical terminology.
  • Knowledge of word processing systems and applications.
  • Bilingualism: The ability to communicate effectively, both orally and in writing.
